Submission Process For Academic Eligibility Forms

Instructions & Deadline

· All eligibility documents need to be received by the NDT Committee Chair by February 8 using the Google Form.

· Documents need to be dated to reflect currently in good standing, with a date between Jan 21-Feb 8.

· All documents should have some verifiable university/school source. The rules say “from appropriate university officials” – so for example, name/contact info, letterhead with such info, etc. would be very helpful here.

Examples of documents that typically have fulfilled the criteria:

· A letter from the Registrar, on letterhead, with their seal and contact information, that identifies the student(s) listed as “registered as an undergraduate, degree-seeking student, and is in good standing at the school.”

· An official transcript or official degree audit that designates the student(s) as registered, undergraduate, degree-seeking, and in good standing.

Examples of documents that are rarely sufficient on their own:

· Unofficial documents

· National Student Clearinghouse documents – these are often missing some element of the criteria (registered at the school, undergraduate, degree-seeking, good standing). These typically will require additional documentation.

· A screenshot of the student’s Spring 23 schedule.

· Letters from lower-level school officials – like the Director of Debate, Department chairs, and the like.

Reminder – the degree-seeking requirement does not apply to any student enrolled in a junior college or a community college.

The process needs to be completed using the Google Form link – do not submit documents via email.

Checklist for your documents

· Is it from a university official? And is that clearly verifiable based on the doc?

· Is it from the relevant date range (January 21-February 8, but must be in reference to current academic semester/quarter)?

· Does it say registered/enrolled?

· Does it say undergraduate?

· Does it say degree-seeking? (Does not apply to junior/community college)

· Does it say good standing?

Online process

· This process will open on January 21. It will close at 12:00 am, February 9.

· You need to pay NDT dues to show up as a school in the form’s list of schools. Your school’s name appears as it does on the NDT member list. If you have proof of payment and your school is not on the list, please contact Adrienne (adri.debate@gmail.com).

· All eligibility documents should be submitted in PDF form. You may send a combined PDF (with multiple students) or separate PDFs. Please follow the instructions in the form for naming documents and for listing students.

· Please be mindful of your school’s privacy policies. Redact information as necessary.
