Good Afternoon Forensics Coaches,

Please read this email. We’ve decided to send one email with all of the information for this tournament so that you’ll have it in one location. There is an Index at the top. If you have any questions, please email me. Supposing you don’t read this email until later, this is the time-sensitive part: LD and Policy judge entry deadline is MONDAY NOVEMBER 30th at 8:00 PM. Judge Hire request deadline is also MONDAY NOVEMBER 30th at 8:00 PM

I. PRE-TOURNAMENT LOGISTICS

A. Adult Contact Information / Phone Number

All schools have to enter adult contact information on Tabroom.com when you register for the tournament. Please check and make sure this information is accurate. In case of emergencies, we need to be able to call the number registered there and reach the adult responsible for your students who is ON-SITE. If your school does not have an accurate adult contact registered, you will not attend the La Costa Canyon Winter Classic. If we encounter problems reaching your on-site adult during the competition weekend, your entries will all be dropped from competition and asked to leave the campus immediately. Every school with questionable adult contact information has been waitlisted pending accurate information. If your school is all waitlisted, please email me ASAP.

B. Deadline Updates / Reminders / Timeline

Some deadlines have changed based on Pref sheeting for Policy and LD. Here are the updated deadlines:

Add Deadline: Sunday 11/29 at 11:55 PM

Judge Hire Request Deadline: Monday 11/30 at 8:00 PM (If you plan on requesting tournament hires, you need to do so by Monday at 8:00 PM. After this point, schools will need to either bring judges, drop entries, or buy out of judging at the penalty missing judge rate.)

Judge Entry Deadline for CX and LD Judges: Monday 11/30 at 8:00 PM (We need your judges in time to open up Pref sheets.)

Pref Sheets Open: Monday 11/30 at 8:00 PM (LD and Policy Only.)

Drop Deadline: Wednesday 12/02 at 8:00 PM (entry fees freeze at this point – you will still have to pay for entries dropped after this point.)

Judge Entry Deadline: Wednesday 12/02 at 8:00 PM (Schools missing judges at this point WILL be charged at the penalty missing judge rate. We MUST finalize our hired judge list by Wednesday night.)

Pref Sheets Due: Thursday 12/03 at 11:55 PM (LD and Policy Only)

Online Drops and Name Changes can be made until: Friday 12/04 at 12:00 PM (If you have late drops, please make them online until the day of the tournament – this speeds up registration and allows us to start on time)

C. Judge Buy-Out Deadline

Additional specific reminder – If you need hired judging, you must indicate your hire requests by Monday 11/30 at 8:00 PM. After this point, you must either enter tabroom-linked judges by Wednesday at 8:00 PM, or pay for judging at the additional penalty rate. Indicate your hired judge request either on Tabroom.com, or in a reply to this email.

D. Make Your Drops

Please make any drops you know of as soon as you are aware of them. We are currently planning our room needs and allocations and need an accurate picture of the size of the tournament.

E. Parli Topic Areas

Are now posted on lcc.tabroom.com. Parli topics for the LCC Winter Classic will be relatively closed-ended, with an emphasis on Plan/Policy resolutions and an emphasis on current International issues.

II. JUDGE INFORMATION

F. ALL Judges Need Linked Accounts

Every judge need to have their own Tabroom.com account in order to be entered in the tournament. Schools who enter fake judges or judges linked to an account that belongs to another person will have these judges deleted. Getting your judges registered is a simple process. Please send this link to all of your judges and ask them to create accounts:

G. Part Time Judges – Full Day = Yes, Half Day = No

The tournament CANNOT accommodate half-day judge shifts. If you cannot bring judges that are available for a full day, you will be required to hire judges. You can mark judges available/unavailable for individual days. Please make sure you have a judge to cover your entry for each day of competition however. For example, if I owe one judge in LD, it means I should have one judge available each of the 3 days of competition.

In order to mark judges for a single day or for 2 days only: From the judge entry screen, there’s a link next to each judge that says “Availability: All Rounds”. Click on the “All Rounds” button. By default your judge is assumed to be Available all 3 days. By clicking on the blue “Yes” button and turning it into a red “Not Available” button, you indicate that the judge is not available for that day. For Example, if I have a judge that will be at the tournament on Saturday only, I would mark this judge “Unavailable” for Friday and Sunday.

H. Invoice Errors - If you have Part-Time Judges

If you did mark part-time judges already, you may have noticed invoice errors. This is normal. I will be sweeping through the invoice system to clear up those mistakes. After I fix the invoices, your judges will appear on your screen as available the whole tournament, but I assure you that they are marked inactive during the times they are not there. If your part-timers put your school under its judge commitment, I will email you.

I. Pref Sheets

In both LD and Policy debate, we will be using a judge placement system called Mutual Judge Preference (MJP). Each team/competitor rates the judges in the field on a 1-6 tier basis, and judges are assigned to rounds in which both debaters rated them the same number. There may be some judges on the sheet with zero or one round(s) of commitment. These are elim-only judges or hired judges from other judge pools, which is why they have no prelim commitment.

J. Judge Paradigms for LD and Policy

All Policy and LD judges need to have judge paradigms posted on either Tabroom.com or on judgephilosophies.wikispaces.com. If your school has judges without a posted paradigm, you will not be able to participate in Mutual Judge Preferencing. Remember that the deadline to enter your Policy or LD judges will be Monday, November 30, 2015 at 8:00 PM.

III. TOURNAMENT LOGISTICS

K. Parking Instructions / Bus information

Do Not Enter the La Costa Canyon High School Campus until 2:45 PM on Friday, December 4th as school will be in session. Our goal is to avoid distracting classes while in session. Coaches can arrive and register their teams starting at 2:00 PM

Bus Drop-Off Location: Buses are to drop off students at STAGECOACH PARK located directly across from LCC campus. This will discourage bottlenecks experienced in past years, as parents will be picking up their students from school. Buses should not enter the LCC Campus until after 4:00 PM on Friday.

Buses may enter LCC campus to pick students up Friday evening and throughout the duration of the weekend.

L. Tobacco-Free Campus

Tobacco Products: Under no circumstances are tobacco products to be used on LCC High School grounds. California State Law stipulates that tobacco-based substances may not be used within 1,000 feet of a public education institution. Therefore, users of such products must exit campus to do so.

M. Schedule Update – Double Octofinals

We will attempt to break debate divisions to a Double Octofinal round in LD and Public Forum debate. There will be no change to the schedule except for the addition of a Final round in PF and LD events at 4:30 PM on Sunday.

In order to single-flight the 8:00 PM round on Saturday night, we need ALL Saturday debate judges to be available to judge the Double-Octos. An updated schedule will be posted on lcc.tabroom.com

N. Judges’ FAQ

There will a Judges’ FAQ and Judging instructions for each event available on lcc.tabroom.com. The printouts we will have in the judges’ room will also be online starting tomorrow. Encourage your judges to check the website prior to the tournament.

O. Students’ FAQ

We will also have a Students’ FAQ and information page on lcc.tabroom.com. This will help your students learn how to access electronic postings and link up for text-message postings. Having as many students as possible linked for e-postings makes the tournament run substantially faster. Please direct your students to lcc.tabroom.com, or send them this link:

P. Wi-Fi Information

I haven’t yet been given the name of the network to connect to, but the username and password are both ‘winterclassic’. More detailed information will be updated at lcc.tabroom.com

Q. Warm Room Location

The warm room at LCC’s campus this year will be the Theatre – No food or drink will be allowed inside except for water bottles. The Theatre will open at 6:00 PM on Friday.
